By confirming a booking or using our services, you agree to these Terms together with the details in your written quotation, itinerary, invoice and booking confirmation. If a booking-specific document conflicts with these general Terms, the booking-specific document applies to that booking.
These Terms and Conditions govern your use of the website and all travel, tour, transport, guide and planning services supplied or arranged under the name Sathya Travels Lanka. In these Terms, “we”, “us” and “our” mean the service provider identified in your booking confirmation. “You”, “traveller”, “passenger” and “customer” mean the person making the booking and every person included in that booking.
Your contract consists of these Terms and the relevant written quotation, itinerary, invoice, payment receipt and booking confirmation. You should keep copies of those documents.
Depending on the confirmed booking, we may provide or arrange:
Only services specifically written in your booking confirmation are included. Anything not listed as included is excluded and may require a separate payment.
The person making a booking must be at least 18 years old and legally able to enter into a contract. That person confirms that they have authority to book for everyone named in the booking and must provide these Terms and all travel information to them.
The lead traveller is responsible for the accuracy of all names, dates, flight information, pickup details, contact information and special requests supplied to us. Please check the booking confirmation immediately and notify us promptly of any error.
A quotation is an invitation to book and is not a confirmed reservation. Unless the quotation states otherwise, prices and availability may change before confirmation.
A booking becomes confirmed only when we have received the required deposit or full payment and have issued written confirmation. A WhatsApp message, email discussion, enquiry form or draft itinerary by itself does not confirm a booking.
We may correct an obvious pricing, typing or calculation error before confirmation. If an obvious error is discovered after confirmation, we will contact you promptly and offer a reasonable correction, an alternative, or cancellation with a refund of amounts paid to us for the affected service.
The price, currency, payment schedule, accepted payment method and any deposit will be stated in your quotation or invoice. You are responsible for bank charges, card charges, currency-conversion costs or transfer fees unless we state that they are included.
Entrance fees, meals, accommodation, tolls, parking, guide fees, driver accommodation, fuel, taxes and gratuities are included only where they are clearly listed as included.
Please send every requested change in writing. We will try to assist, but changes depend on availability and supplier approval. You must pay any price difference, non-refundable supplier cost and reasonable administration cost disclosed before the change is completed.
Changing travel dates, route, hotel, passenger names, vehicle type, pickup time or group size may be treated as a cancellation and new booking if suppliers cannot amend the original reservation.
You may cancel by sending a clear written notice to info@sathyatravelslanka.com. Cancellation is effective when we receive it.
The cancellation schedule shown in your quotation or booking confirmation applies. If no specific schedule was supplied, any refund will be the amount paid to us for the cancelled service, less:
A late arrival, failure to attend, missed pickup or unused part of an itinerary is normally treated as a no-show and is not refundable, except where applicable law requires otherwise. Approved refunds will be returned using the original payment method where reasonably possible. Bank and processing times are outside our control.
Travel arrangements may require reasonable changes because of weather, road conditions, safety concerns, closures, public events, supplier availability or operational needs. We may adjust the order, timing, route, attraction, guide, driver, vehicle or accommodation while aiming to preserve the overall value and purpose of the booking.
If we make a significant change before the service begins, we will tell you as soon as reasonably possible and, depending on the circumstances, offer an appropriate alternative, a price adjustment, or cancellation with a refund of the amount paid to us for the affected service, less any lawful and irrecoverable supplier charges explained to you.
We are not responsible for delay, change or failure caused by events that could not reasonably be controlled or avoided. These may include severe weather, natural disaster, epidemic, government action, civil disturbance, strike, road or airport closure, fuel shortage, security incident, utility or communications failure, or a similar event.
We will take reasonable steps to assist and reduce disruption. Any refund or additional cost will depend on recoveries from suppliers, services already delivered, applicable law and the booking-specific terms. Additional accommodation, meals, transport or other costs caused by such an event are the traveller’s responsibility unless we agree otherwise in writing.
You are responsible for obtaining and carrying a valid passport, visa, entry approval, driving permission, health document and any other document required for your journey. Requirements can change, so travellers should verify current rules with the relevant government, embassy, airline or official authority before travel.
General information provided by us is assistance only and is not a guarantee of entry. We are not responsible if a traveller is refused entry, boarding or participation because documents are missing, expired, inaccurate or unsuitable.
You must consider whether the itinerary is suitable for your health, fitness and mobility. Tell us before booking about any accessibility requirement, allergy, medical condition or assistance need that may affect safe delivery of the service. We will make reasonable efforts to help but cannot guarantee that every destination, vehicle, hotel or attraction is accessible.
Travellers remain responsible for personal medication and for obtaining professional medical advice, vaccinations or precautions appropriate to their circumstances and route.
We strongly recommend suitable travel insurance from the date of booking. Depending on your trip, cover should be considered for cancellation, medical care, emergency assistance, personal accident, baggage, delays and activities.
Insurance is not included unless clearly stated. You are responsible for understanding the policy, exclusions and claim requirements and for contacting the insurer when necessary.
Some services are provided by independent hotels, restaurants, airlines, attraction operators, activity providers, guides or transport partners. Their reasonable terms, safety rules, check-in times and cancellation policies may also apply and will be shared where available and relevant.
When we act only as a booking intermediary, the supplier is responsible for performing its service. We remain responsible for our own obligations and for exercising reasonable care in arranging services, subject to applicable law.
Published routes, travel times and photographs are illustrative. Actual travel time depends on traffic, weather, road conditions, passenger stops and local events. Attraction opening hours, ticket prices and access rules may change without notice.
The driver or guide may adjust the schedule for safety or practical reasons. A traveller who chooses to skip, leave or arrive late for an included activity is not entitled to a refund for that unused portion. Additional stops or significant route changes require prior agreement and may involve extra distance, time, parking or entry charges.
Passengers should be ready at the agreed pickup point and time. If you cannot locate the driver, contact us before leaving the pickup location or arranging alternative transport.
Tell us the number and approximate size of bags, wheelchairs, sports equipment, strollers or other large items before booking so that a suitable vehicle can be arranged. We may refuse an item that cannot be carried safely or legally.
Keep passports, money, electronics, medication and other valuables with you. Check the vehicle before leaving. We will make reasonable efforts to return found items, but collection, delivery or courier costs are the owner’s responsibility. Our responsibility for loss or damage is subject to applicable law and the liability section below.
Children must be included in the passenger count and supervised by a responsible adult at all times. Tell us each child’s age and any required child-seat specification before confirmation. Child seats are subject to availability and must be confirmed in writing.
The accompanying adult is responsible for checking that a supplied child seat is appropriate for the child and for following the driver’s safety instructions.
Travellers must behave respectfully and follow reasonable safety instructions from drivers, guides, accommodation providers and attraction staff. Smoking in a vehicle, unlawful activity, harassment, threats, deliberate damage and conduct that creates a serious safety risk are prohibited.
We may stop a service if conduct creates a serious risk to people, property or lawful operation. No refund is due for the unused part where termination results from a traveller’s serious misconduct. The responsible traveller must pay the reasonable, evidenced cost of repairing deliberate or negligent damage or carrying out exceptional cleaning beyond ordinary use.
Drivers and guides will perform the role described in the booking confirmation. A driver is not automatically a licensed tour guide unless guide service is specifically included. Travellers must use seat belts where fitted and follow safety notices and local laws.
We may decline a route, stop or activity that is unsafe, unlawful, outside the confirmed service or unsuitable for the vehicle. Decisions made in good faith for immediate safety do not create a right to compensation, subject always to rights that cannot lawfully be excluded.
If a problem occurs during your trip, tell the driver, guide, supplier or our contact person as soon as reasonably possible so there is an opportunity to help. For a formal complaint, email info@sathyatravelslanka.com with the booking reference, dates, a clear description and relevant evidence.
Please submit a complaint promptly after the service. We will acknowledge it and aim to provide a fair response within a reasonable period, depending on whether information is needed from a third-party supplier. Nothing in these Terms prevents you from using any remedy available under applicable consumer law.
We will provide our own services with reasonable care and skill and arrange third-party services with reasonable care. Nothing in these Terms excludes or limits liability where doing so would be unlawful, including liability for fraud, wilful misconduct, or any consumer right that cannot legally be excluded.

Any financial limit stated in a booking-specific contract applies only to the extent permitted by Sri Lankan law. You must take reasonable steps to reduce any loss and provide evidence supporting a claim.
We may collect and use personal information needed to answer enquiries, prepare quotes, confirm and deliver bookings, process payments, communicate during travel, handle emergencies, prevent fraud, meet legal duties and resolve complaints. This can include identification and contact details, travel dates, passport or visa information where genuinely required, flight details, preferences, payment status and special-assistance information.
We may share necessary information with drivers, guides, hotels, attractions, payment providers, technology providers, government authorities or other suppliers involved in the booking. We will use reasonable security measures and keep information only as long as reasonably required for the stated purpose, legal obligations and dispute handling.
Marketing messages and the publication of identifiable customer photographs or testimonials require an appropriate legal basis and, where required, separate consent. Website content is provided for general information and may be updated without notice. We aim for accuracy but do not guarantee that every price, schedule, image, map, availability statement or destination detail is complete or current until confirmed in writing.
Unless stated otherwise, the website design, brand elements, original text, graphics and other original content belong to us or are used with permission. You may view and share page links for personal, non-commercial use. You may not copy, sell, republish, scrape, impersonate the brand, interfere with the website, upload malicious code or use the content unlawfully.
Links to external websites are provided for convenience. We do not control their content, availability, security or privacy practices.
You agree that booking communications, confirmations, invoices and notices may be sent electronically to the email address, telephone number or messaging account you provide. You are responsible for keeping those details available and current.
We welcome honest customer reviews. We will not publish a traveller’s identifiable photograph, video or private message for advertising merely because they booked with us. Where consent is required, we will request it separately, and withdrawal will apply to future use where reasonably possible and legally required.
These Terms and each booking are governed by the laws of Sri Lanka. The courts of Sri Lanka will have jurisdiction, subject to any mandatory consumer right or lawful alternative dispute process that applies.
If any provision is found invalid or unenforceable, the remaining provisions continue to apply. A delay in enforcing a right is not a waiver of that right. You may not transfer a booking or contract without our written agreement. We may use qualified employees, drivers, guides and suppliers to perform the service.
We may update these Terms for future bookings. The version accepted when your booking is confirmed continues to govern that booking unless a change is required by law or you agree to the change in writing.
